How to set up your professional email in Outlook

How to set up your professional email in Outlook: a clear, practical guide from the Digitalx knowledgebase for South African businesses. Part of our Email & Hosting help.

Before you start

Outlook is the most reliable desktop option for professional email because it uses IMAP, which keeps every device in sync. Read a message on your laptop and it shows as read on your phone.

Have three things ready: your full email address, your mailbox password, and your mail server name, which is normally mail.yourdomain.co.za. If you are not sure of the password, ask us to reset it before you begin rather than guessing and locking the account.

Setting it up in new Outlook and Outlook on the web

  1. Open Outlook. Click the gear icon, then Accounts, then Email accounts.
  2. Click Add account.
  3. Type your full professional email address and click Continue.
  4. If Outlook asks for the account type, choose IMAP.
  5. Enter your mailbox password.
  6. If Outlook cannot detect the servers automatically, click Advanced setup or Show more and enter the incoming and outgoing details from the table above.
  7. Click Continue, then Done.

Setting it up in classic Outlook for Windows

  1. Open Outlook and go to File, then Add Account.
  2. Type your full email address, then click Advanced options and tick Let me set up my account manually. Click Connect.
  3. Choose IMAP.
  4. Under Incoming mail, set the server to mail.yourdomain.co.za, port 993, encryption method SSL/TLS.
  5. Under Outgoing mail, set the server to mail.yourdomain.co.za, port 465, encryption method SSL/TLS. If 465 is refused, use port 587 with STARTTLS.
  6. Click Next, enter your mailbox password and click Connect.
  7. Send a test email to yourself and reply to it to confirm both directions work.

Setting it up in Outlook for Mac

  1. Open Outlook and go to Tools, then Accounts.
  2. Click the plus button and choose New Account.
  3. Enter your full email address and click Continue.
  4. Choose IMAP if prompted, then enter your password.
  5. Click Advanced options if the servers are not detected, and enter the details from the table above.
  6. Click Add Account, then Done.

Common Outlook problems and fixes

  • It keeps asking for your password. Almost always a typo, or the wrong password. Confirm the same details work in cPanel webmail first. If webmail works and Outlook does not, retype the password in Outlook rather than pasting it.
  • You can receive but not send. Your outgoing server is not authenticating. Check that My outgoing server requires authentication is ticked and set to use the same settings as incoming.
  • Port 465 will not connect. Some South African networks and mobile hotspots block it. Switch the outgoing port to 587 with STARTTLS.
  • Certificate warning appears. This usually means you used mail.yourdomain.co.za where the certificate is issued for the server hostname. Tell us and we will give you the exact hostname to use instead.
  • Old mail is missing. If the account was previously set up as POP3 on another computer, the mail may have been downloaded and removed from the server. Check that computer before assuming it is lost.

Setting up your email signature

A signature does more work than people realise. It is on every message you send, so it is worth five minutes.

  1. In Outlook, go to File, then Options, then Mail, then Signatures. In new Outlook, go to Settings, then Accounts, then Signatures.
  2. Click New and give the signature a name such as Default.
  3. Type your name, your role, your business name, your phone number and your website address.
  4. Keep it to four or five lines. Long signatures with images often get stripped or flagged as spam.
  5. Under Choose default signature, set it for both New messages and Replies/forwards.
  6. Click OK and send yourself a test message to check how it looks.

Adding more than one account

If you handle several addresses, for example info@ and accounts@, you can run them side by side in one Outlook window.

  1. Go to File, then Add Account, and repeat the IMAP setup for the second address.
  2. Each account gets its own inbox in the left hand folder list.
  3. When you compose a message, check the From field at the top and switch it if needed. Sending from the wrong address is the most common slip.
  4. Set a default account under File, then Account Settings, then Set as Default.

For a shared inbox that several staff monitor, tell us and we will set up a proper shared mailbox rather than sharing one password around, which is both safer and easier to manage.

  • Choose IMAP so every device stays in sync
  • Keep the mailbox under its size limit or mail stops arriving
  • Set up SPF, DKIM and DMARC so your mail is trusted
  • Keep hosting, SSL and email with one provider so there is one number to call

Work down that list in order. Each item makes the next one easier, and skipping ahead is what creates the messy situations we are usually called in to untangle.

How this usually works in practice

  1. Start with the goal. Write down what you want to be true in three months. Almost every decision about how to set up your professional email in Outlook follows from that.
  2. Check what you already have. Existing registrations, domains, hosting logins and accounts. People often own more than they realise, and duplicating it wastes money.
  3. Get a written price before committing. A verbal figure is not a quote. Ask for scope and cost in writing.
  4. Do the compliance part first. Registration and tax basics unlock the bank account, the contracts and the tenders.
  5. Then build the visible part. Website, professional email, listings and branding.
  6. Only then spend on advertising. Sending paid traffic to a weak website is the most common way South African businesses waste a marketing budget.

Mistakes we see every week

  • Missing the annual return. CIPC deregisters companies for this, and it takes weeks and money to reverse. Diarise it.
  • Not owning the domain. If a previous developer registered it in their own name, you do not control your own website or email. Always check who the registrant is.
  • Using a free email address on invoices. It costs you credibility on every quote you send.
  • Paying for ads before the website converts. Fix the destination first, or you are paying to lose people.
  • No written scope. Almost every dispute we hear about started with a verbal agreement about what was included.
  • Letting the mailbox fill up. A full mailbox stops receiving mail silently, and people assume clients are ignoring them.
