Quick answer: Log in to webmail first. If webmail works, the problem is your device's settings. If webmail doesn't work, the problem is the mailbox, the domain or the hosting. Bounce messages and spam-folder placement point to DNS records.
Step 1: Test webmail
Go to yourdomain.co.za/webmail and log in. See logging in to webmail. This one test tells you where to look next.
Webmail works, but my phone or Outlook doesn't
- Re-enter the password; it may have been changed
- Check the incoming server (IMAP 993, SSL) and outgoing server (SMTP 465, SSL, authentication on)
- Use your full email address as the username
- Remove and re-add the account if settings look right but it still fails
See email settings.
I can't receive anything
- Is the mailbox full? Delete large old emails or ask for a larger quota.
- Has the domain expired?
- Were the MX records changed, for example during a website move?
My emails bounce or land in spam
- Read the bounce message; it usually names the reason.
- Check that SPF, DKIM and DMARC records exist and are correct. See DNS explained.
- Avoid sending bulk marketing from your normal mailbox.
- Check whether your server's address is on a blocklist; your host can help.
